Administrative Assistant – Police Records Division


Position Summary:

The Township of Kalamazoo Police Department (TKPD) is seeking a full-time Administrative Assistant.  The position requires proficiency in word processing, records management, working with the public in a professional manner, and the ability to pass a rigorous background investigation.  Prior administrative experience is preferred. Some remote weekend on-call work is required. This position requires in-office work Monday through Thursday, 7:00 a.m. until 4:30 p.m. and the option to work the remaining four hours of the work week from home on Fridays.   • Pay Range: $20.61 to $24.73 per hour, depending on qualifications. Includes full benefits package.

Examples of Work:

  • Answer incoming calls to the police administrative offices and direct callers appropriately.
  • Receive and screen visitors to the police administrative offices.
  • Take messages, make calls and contacts, and arrange appointments for various office staff.
  • Create and maintain filing systems, both electronic and physical.
  • Sort and distribute incoming mail.
  • Utilize records management system and other law enforcement-specific platforms.
  • Transcribe police reports and submit them to the Office of the Prosecuting Attorney or Township Attorney.
  • Participate in weekend on-call rotation for in-custody case submission to the Office of the Prosecuting Attorney.

Employment Qualifications:

  • Administrative experience: 1 year (preferred)
  • Education: Possession of a high school diploma or equivalent is required. College degree preferred.
  • Keyboarding: 75 words per minute (preferred)
  • Basic proficiency in Microsoft Office, Word, and Outlook email.
  • Detail-oriented, diligent, and interfaces well with the public.
  • Able to learn statutes and comply with federal and state laws pertaining to criminal justice information and records retention.
  • Eager and able to learn various facets of the criminal justice system.
  • Able to demonstrate proficiency in transcription, grammar, and sentence structure.
  • Ability to maintain confidential and sensitive information.
